A proposal is a formal or informal written document that details how the event planning company will execute the event if given the job. It is written to impress the client and should include the highest level of creativity and detail. If given the job based on your submitted proposal, everything should appear exactly the way it was pitched in the proposal (after all mutually agreed revisions have been made) because it is what the client is expecting. The proposal is prepared by an event planner for a client either before the job has actually been booked or shortly thereafter. Once the event planner has collected all of the pertinent information they can begin to draft a proposal that displays in detail all of the options available to the client such as food, décor, venues and entertainment. All of these components are then priced out to match the client’s budget as closely as possible. The proposal is then sent to the client for approval. After reviewing the proposal the client can decide whether to hire the event production company or not. Once an event has been booked (meaning a contract has been signed or a deposit has been received) the proposal is then used as a guideline for the event because it lists every detail and can be easily revised.
