Guest List

The guest list is the authority document which lists the confirmation status of all invited guests. It is the list that is given to bouncers, registration staff and event planners to control guest admittance. The guest list can be created once people start to confirm their attendance. The guest list usually remains open until a few hours before the event and is then distributed to every appropriate person on the event staff. The list can change frequently and often at the last minute, especially at an event that does not have a strict capacity. The guest list ensures that the invited person will have no trouble being admitted. The guest list is a crucial item at high profile events because of the probability that people will try to gain admittance through word of mouth. The guest list should be the final authority on who gets inside unless the host/hostess chooses otherwise. The guest list will also probably list those individuals who are considered VIP so that they can receive a stamp, wristband or other distinguishing mark.


Often times a guest list will list the names of individuals with a “plus a number” (+1, +2). This means that the person whose name is on the list is bringing the number of people next to their name. Therefore, when the individual arrives to check in, they will have to announce who they are bringing in with them. This tactic isn’t usually extended to everyone as it can become quite tedious. Usually this happens at an exclusive event, that just serves a light buffet or tray passed appetizers and a bar. These events can afford to do things this way because they are not worried about each person receiving a meal. These events are centered more around the music and alcohol.
Overall, having a guest list helps to maintain the organization of the event. If it is used correctly and updated frequently you can use the guest list to see who was present at your party and who was not. The guest list can also ensure that only invited guests are admitted if that is your wish.
