Event Planning Guide Staging Dance Floors

For small, intimate meetings, you don’t need to place speakers on a raised platform to plan for presentations. However, as the size of your event and its audience grows, so does your need to elevate and broadcast your performers. If your event does require staging, you should know some basic statistics so you can communicate with your event planner or staging staff.

You will want to refer to staging in feet and inches. For a local band with six musicians, for example, you could use a 12’ x 16’x 24” high stage. The height of the stage is always in inches, while the depth and width are always in feet. At a private event, you will rarely need a stage higher than 24 to 30 inches high--any higher than that usually looks awkward, unless it is a very large concert. Part of staging also includes the drum riser, but this is just another section of platform set on top of the stage for the drum kit. Additionally, you should decide if you want the staging to be accessible from just the front, or from the back and the sides as well. Although these questions may seem trivial, they determine how your presenter makes an entrance. Additionally, don’t forget to decide which stage backdrop is most appropriate and most attractive.

Make sure you are also aware of how much time is required to move in and set up the staging, as well as how much time is needed to tear it down and move it out. You need to know how much time is involved in these activities to see how all of the elements of your event will interact, and so you can lay out your schedule of events based on the time requirements of your contractors. 

If you have a live band and the event is festive, make sure to include room for a dance floor when planning the space for your event. When deciding how many people it may need to accommodate, allow three square feet per person for the dance floor and twenty square feet per instrument for the band.
