Rentals are an important part of any event, and you don’t want to omit the cost of them when planning your event budget. Even the smallest events require renting some equipment or furniture. Find out what the venue you have chosen has available, and what is included in the price of the site rental. Event Solutions also has many items available to rent to make your event special. You may be surprised at the endless number of things that are available for rental—everything from hangers and coat racks to candelabras and other props and decorative items.
Chairs and tables are available in any number of configurations and styles, from formal to casual and fun. Consider covering the chairs for an added touch, and coordinate them with the table coverings you have chosen. Make sure to also include banquet tables, bar tables and registration tables (if applicable) when making your selections.
Table settings can be as elaborate or as simple as you would like. For a BBQ or similar event, using plastic cutlery and paper plates may be perfectly acceptable. For a more formal affair, you will want to rent a full place setting, including charger plates and all needed cutlery.
Glassware can be rented in everything from the finest crystal to everyday glass. Consider using colored glass for more casual and fun events. Don’t forget to rent varieties of glasses that are appropriate for the types of beverages you are going to have available (wine, champagne, high balls, etc.)
If you are planning an outdoors event, consider renting a canopy or tent in case of inclement weather. You can also rent movable walls and trellises which can be used for sectioning off certain areas. This can be helpful if you are having a bar at an event where there will be minors present.
Most decorative elements can also be rented. Art, statues and even play-oriented equipment for children can all be rented as part of your event. Don’t purchase anything outright that can be rented, but remember that the items must be returned in the same condition they were obtained, so keep a close eye on your rented items and take an inventory both before and after the event so you know what you are paying for.
Be sure to find out in advance how your rented items will be delivered, who will deliver them, and who will collect them when the event is concluded. Determine if the rental prices include set up, and if not, make sure you have adequate staff to assemble and set up your rented items. This is not something you want to be doing at the last minute while guests are arriving!
