Event Planner
An event planner is the person who organizes, conceptualizes, arranges and produces an event for a company or individual. The event could range from coming of age events to baby showers to grand openings. Any reason to plan a party is a reason to have an event planner. The advantages of having an event planner is first and foremost, their knowledge of the industry, second their creativity and third the convenience. An event planner is responsible for planning and securing all aspects of the event’s design including, to name a few:
The event planner is the client’s point of contact and is also responsible for the staffing of the event. Staffing includes the bartenders, servers and anyone else who works the event on the day of. They are required to know everything about the event, to secure all vendors and keep track of all the changes made. The event planner is also responsible for coordinating the food tasting if it is something that is required.
The event planner’s first job is to understand the client’s vision, decipher their budget range and then write a proposal which will, in detail, list everything the event production company can do within that budget. Once the job has been booked, the event planner will begin to conceptualize every aspect and book vendors who can get the job done. The event planner can suggest ideas to the client considering they are the expert and will know immediately if something will not work at an event.
The event planner should scout locations (if necessary), plan the menu according to the season and theme of the event and plan the décor around the chosen colors. The event planner should also handle all of the vendors, their payments and pick up and drop offs. The idea is for the client not to have to worry about anything before, on or after their event except payments and approvals of things the event planner suggests. Basically, the event planner is supposed to handle every single thing as related to the event. They are hired to ensure that the client and their guests have the best time possible, that everything goes smoothly and that the client never has to be involved in the planning, production, set up or cleanup of the event
