Venue
A venue is the place, space, room, site, or building where an event is scheduled to be held. The venue is usually secured by the event planner or client by a deposit, contract or verbal agreement. The more popular a venue happens to be, the more likely that the client will need to submit some sort of deposit. Before a client or event planner secures a venue they should schedule a site visit. The site visit is important because it allows the event planner to not only explore the décor options but make sure that the venue is in good condition. In the beginning stages, an individual will call a venue to find out their rental availability for a particular date. The venue will then ask the client certain questions such as:
- How many people
- The time frame of the event
- If you are bringing in an outside caterer
- If you will be serving alcohol
Once the venue has gathered this pertinent information, they will provide you with their list of rules and regulations. Some venues don’t allow outside catering because they’ve made a partnership with a catering company. In this case, you can either look for a different venue or use the catering service that they require. Some venues require a certain amount of security and some require that you hire a valet company because of the parking situation in the area. If a venue is downtown valet parking would be a great idea due to the limited parking and night atmosphere. You would also need to be aware of any restrictions that the venue might have including music, alcohol (especially at parks), décor, open flame, water games and other activities and types of entertainment (such as animals or adult).
